Role & Functions of the Committee

  1. Overall Supervision – Oversees the issuance and management of identity cards for students, faculty, and staff.
  2. Policy & Guidelines – Approves procedures, formats, and validity criteria for ID cards in compliance with college rules.
  3. Planning & Coordination – Sets timelines for ID card preparation, verification, printing, and distribution.
  4. Approval Authority – Sanctions final designs, photographs, details, and security features of ID cards.
  5. Monitoring Compliance – Ensures all enrolled students and staff possess valid ID cards.
  6. Conflict Resolution – Handles issues like lost, damaged, or duplicate cards and authorizes reissuance.
  7. Documentation & Record-Keeping – Ensures maintenance of ID card records, issued lists, and logs for audits.
  8. Communication – Coordinates with departments, IT, and printing vendors for smooth execution.
  9. Data Collection – Collect and verify personal details, photographs, and enrollment information of students and staff.
  10. Verification & Accuracy – Ensure correctness of names, roll numbers, designations, and validity periods before printing.
  11. Printing & Distribution Support – Assist in preparing, printing, and distributing ID cards to concerned individuals.
  12. Record Maintenance – Maintain registers of issued, lost, damaged, and renewed ID cards.
  13. Follow-up – Track new admissions, transfers, or staff joining for timely ID card issuance.
  14. Support for Reissuance – Facilitate duplicate or replacement ID cards for lost/damaged cases.
  15. Coordination with Vendors – Liaise with external printing agencies or IT staff for smooth operation.
  16. Awareness & Compliance – Remind students and staff to carry ID cards and use them for college-related activities.
  17. Ensure timely issuance of ID cards for all students and staff.
  18. Maintain accurate, updated, and secure records of identity cards.
  19. Provide duplicate/replacement cards promptly when required.
  20. Ensure standardized design and security features for all cards.
  21. Support college administration in verification, attendance, library access, and examination purposes.
  22. Maintain logs for audits, IQAC, and administrative review.
  23. Promote ID card compliance for safety and identification on campus.
